Exhibit Booth Assignments

Exhibit booths are available on a first-come, first serve basis by contacting Sherri Box at Phone: 540-231-1549/Fax: 540-231-1555.

Once you have contracted for a booth, please review/complete the attached Official Service Contractor document from Kris Peter at Hollins Exposition Services.

Conference organizers reserve the right to determine the final allocation of booth space.

Should you require electricity at your booth, arrangements and separate payment must be made directly with Marriott (instructions will be included in your Exhibitor packet from Hollins Exposition Services).

Exhibit Booth Registrations

Your company representative noted on the Exhibit Booth reservation form to appear in all printed materials will be added as your complimentary conference registration. (NOTE: Contact Sherri Box; to receive the registration form)

We encourage you to send more than one person to work your booth and/or attend the Conference. Your company will receive only ONE (1) complimentary registration so each additional person working your booth may register as a regular attendee on the website and pay the appropriate registration rate.


The Exhibit Booth registration fee includes ONLY one (1) complimentary registration for ONE (1) person to work your booth, a listing on the Exhibitor page of the Conference website, a listing in the Conference program, and an Exhibitor ribbon for representatives' name badges.

Payment Policy

Cancellations carry a 20% handling fee. No requests for refunds will be honored after October 1, 2011.

Exhibit Booth Equipment

Each booth will be 10 ft. wide x 8 ft. deep and will include:

  • 8 ft. high back wall drape (green/blue)
  • 3 ft. high side divider drape (blue)
  • one 7 in. x 44 in. booth identification sign
  • one 2 ft. x 6 ft. skirted table (green)
  • two chairs
  • one wastebasket
Exhibit Shipping Equipment

Kris Peter at Hollins Exposition Services at 540-362-3940 will accept crated, boxed or skidded material up to 30 days in advance of the show set-up for the standard drayage rate as detailed in the Exhibitor kit you will receive.


Should freight be received by The Norfolk Waterside Marriott, it will be consigned to Hollins Exposition Services and subject to the prevailing drayage rate plus any additional handling fees assessed.

(NOTE: Refreshment services will be offered in the Exhibit area during the Conference; optional staffing of Exhibit Booths during this time.)

Booth Bingo

We will give attendees an extra incentive to visit the Exhibit Booths with a raffle game called Booth Bingo.

Each Exhibitor is encouraged to donate a prize valued at $50 or more. Booth Bingo cards (showing the company name of each Exhibitor) will be printed and distributed to attendees. When attendees visit each booth listed on their card, the vendor will initial over their company's name on the card. The cards will be collected and the drawing and award of prizes occurs during the Closing Session.

Sponsors and Exhibitors donating a prize for Booth Bingo will receive publicity on the Conference website and during the Closing Session.
